Terms & Conditions
Article I: Program Selection, Capacity Limits, and Intimacy Guarantee
The Client shall select an approved travel program and establish fixed departure dates. To preserve the bespoke quality, personal space, and cultural intimacy of the journey, operational capacity for any small-group program under the Smart-Travel Collective framework is strictly capped at a maximum of seven (7) travelers per departure.
Article II: Booking Window and Cut-Off Deadline
The booking window to join an established collective itinerary closes exactly twenty-five (25) days prior to the designated departure date. Beyond this cut-off deadline, no additional travelers may join the group. Final tiered pricing adjustments for all confirmed participants are locked and finalized at this time.
Article III: Authorization for Public Listing and Dynamic Price Drops
By selecting the “Smart-Travel Collective” option, the Client grants explicit permission for the Company to publish the selected program dates on its open platform for public joiners. Multi-tiered group savings are triggered automatically as new participants join, yielding direct, immediate rate reductions for all booked travelers.
Article IV: Upfront Discount Structure & Vested Savings Guarantee
- Primary Partner Tier (10% Savings): When a second independent traveler confirms booking for the identical program and dates, the Primary Client receives an immediate 10% discount on the total package cost.
- Collective Growth Tier (7% Additional Savings): When a third traveler confirms booking, an additional 7% price reduction is applied to the active program balance for all confirmed participants (up to the 7-person program cap).
- Vested Savings Protection: Once a pricing discount is unlocked by group growth, the reduced rate is fully vested and guaranteed for remaining participants, protecting existing travelers from price increases if a late-joining party cancels.
Article V: Rooming Logistics and Solo Traveler Rates
- Solo Initial Booking & Shared Match: A solo participant registering first for an unconfirmed group is initially billed at the standard Single Occupancy rate. If the traveler explicitly consents to room-sharing, their rate automatically adjusts to the Double Occupancy rate upon the successful pairing of a compatible traveler.
- Standard Booking Selections: Subsequent joiners are invoiced directly according to their selected accommodation preference (Single Occupancy with applicable single supplement, or Double Occupancy) at the time of reservation.
- Unmatched Solo Departures: If no additional travelers join the program prior to the 25-day cut-off deadline, the journey automatically operates as a private solo departure, and standard single occupancy rates apply.
Article VI: Non-Refundable Commitment Deposit
Upon booking confirmation, a non-refundable deposit equal to thirty percent (30%) of the total package price is required. This deposit secures individual program reservations, guarantees the vested group rate for fellow participants, and covers non-recoverable operational commitments made to local suppliers.
Article VII: Flexible Date Amendments, Transfer Options, and Fees
Should a Client request to alter their travel dates following confirmation:
- Option A: (Transfer to Existing Group): The Client may transfer their booking to any active, open group itinerary listed on the public directory. Transfers are subject to a standard rescheduling fee of 25% of the original deposit plus applicable banking/transaction costs.
- Option B: (Initiating a New Private/Collective Tour): The Client retains full flexibility to launch a brand-new departure date as a private traveler or as a new Smart-Travel Collective host. Initiating a new program date requires forfeiture of the original deposit to cover non-recoverable supplier reservations; a new 30% deposit is applied to secure the new itinerary.
